JOB DESCRIPTION Grossmont Union High School District
Payroll Technician
Purpose Statement The job of Payroll Technician is done for the purpose/s of preparing District payrolls for certificated and classified employees; monitoring payment of employee taxes, benefits and voluntary deductions; preparing and maintaining payroll records, files and reports. Incumbents in this classification provide students and staff with fiscal services which in tum directly supports learning.
Essential Functions • Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements. • Maintains a variety of manual and electronic documents, files and/or records ( e.g. employment verifications, leave, deduction payroll information, etc.) for the purpose of maintaining an up-to-date trail for reference and ensuring compliance with established regulations. • Notifies county of changes in demographic information for the purpose of ensuring that databases are updated appropriately. • Prepares various payroll related forms and reports ( e.g. employment verifications, IRS/EDD forms, etc.) for the purpose of documenting activities, providing written support and/or conveying information. • Processes new hire and payroll information (e.g. monthly/special payroll§, time sheets, payroll data, pay warrants, voluntary deductions, benefits earned, W-4 changes, TB test clearances, address changes, etc.) for the purpose of ensuring timely and accurate issuance of pay warrants. • Reconciles payroll information for the purpose of maintaining accurate balances and complying with accounting practices. • Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures. • Responds to inquiries for the purpose of providing information and/or direction as may be required.
Other Functions • Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
Job Requirements: Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; performing accounting procedures; and preparing and maintaining accurate records. KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: pertinent codes, policies, regulations and/or laws; accounting/bookkeeping principles; accounting/bookkeeping principles; posting, balancing and auditing procedures; principles and techniques involved in payroll preparation, monitoring and control; and concepts of grammar and punctuation. ABILITY is required to schedule activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; working as part of a team; and working with detailed information/data.
Responsibility Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; operating within a defined budget. Utilization of resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the organization's services.
Working Environment The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity.
Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
